A cash flow projection template is a timing plan

A cash flow projection template records when cash is expected to arrive and leave the business. It is not the same as an income statement or a historical cash-flow statement. Start with the opening bank cash you can reconcile, then estimate receipts and payments by period. The purpose is to identify potential shortfalls early, not to present uncertain assumptions as guaranteed future earnings.

Make each period reconcile

A simple planning layout has opening cash, customer receipts, other cash inflows, operating payments, asset purchases, financing movements and closing cash. Closing cash equals opening cash plus inflows minus outflows, and becomes the next period’s opening cash. Keep borrowing and owner contributions separate from sales receipts. Use the same currency and consistent periods throughout the model so totals have an understandable meaning.

Use a small hypothetical example

Suppose opening cash is USD 5,000, expected receipts are USD 8,000 and planned payments are USD 9,000. Closing cash is USD 4,000. If the next period starts with USD 4,000, receives USD 6,000 and pays USD 8,000, closing cash becomes USD 2,000. The forecast shows a declining reserve even though receipts continue. These invented figures illustrate arithmetic, not an actual business’s performance.

Base receipts on timing evidence

An issued invoice does not necessarily create cash in the same period. Use agreed payment terms, actual collection experience and known disputes to estimate timing. Separate confirmed obligations from tentative projects, and avoid counting the same transaction in multiple rows. Record how platform settlement delays, refunds and processor deductions are handled. A forecast becomes more useful when its assumptions can be compared with actual receipts.

Review risks and act before a shortfall

Build a realistic downside case, such as a delayed major invoice, without pretending its probability is known. Look at which payments can be rescheduled lawfully and which obligations require funding or advice. Update the forecast with actual results and explain differences. Consult an accountant about classification and an appropriate adviser about financing; a spreadsheet does not establish credit eligibility or make a loan affordable.

Common questions

Does forecasted revenue equal forecasted cash? Not necessarily; timing and deductions matter. Are loan proceeds income from customers? No, keep financing visible. How often should the template be updated? Choose a cadence that fits the business’s cash risks, and revise it when material receipts or payments change.
