Data export: identify what must be kept
List business records, attachments, notes, relationships and required history. Confirm retention obligations and who owns the account. A visible summary is not the whole dataset. Do not delete material merely because a new tool imports only a few fields. Separate records you legitimately need from unnecessary personal information that should not be retained indefinitely.
Read the provider’s current rules
Check which exports the plan permits, how long access remains after cancellation and whether associated users or integrations are affected. Do not assume cancellation and data deletion are the same action. Verify the actual process with official documentation or legitimate support. Avoid relying on an old tutorial when provider terms or account behavior may have changed.

Export through an approved route
Use supported tools and protect the destination. Keep private files out of public repositories and unapproved converters or AI services. Credentials should not be included in ordinary archives. Record formats and any known limitation. A downloaded file being present is not evidence that every attachment or relationship was included correctly.
Test usability and recovery
Open representative files, compare records and verify important links or relationships. Test the intended replacement workflow before depending on the export. CISA’s restoration-testing principle is useful here. Preserve an authorized recovery route while access remains available. If completeness is uncertain, resolve the issue before making an irreversible account or data-deletion decision.
Close obligations deliberately
Confirm remaining bills, client access promises and related integrations. Remove obsolete permissions and store required records appropriately. Document the final location and responsible owner. A successful cancellation saves unnecessary cost only when the business can still use the information it needs. Do not trade a small subscription saving for unexamined loss of essential records.
