Business workflow: choose one repeatable task

Start with work performed often enough to benefit from a consistent process, such as preparing an invoice or handing over a client project. Define when it begins and what completion means. Avoid documenting every business activity at once. A narrow process is easier to observe, test and improve than a broad manual that nobody maintains.

Observe the real sequence

Ask the people doing the work what inputs they need, where decisions occur and which exceptions cause delays. Distinguish the approved process from improvised workarounds. Do not publish private customer material as an example. Use a fictional case where needed, and preserve the important decision logic rather than only naming software buttons.

Write action and ownership clearly

Use short steps with responsible roles and expected outputs. Explain handoffs and approvals so work does not disappear between teams. Write the Docs’ focus on clear purpose and examples supports readable instructions. Avoid jargon that makes the document depend on one expert being available to interpret it. Include the source of truth for changing information.

Document exceptions and safeguards

State when the operator should stop, escalate or request missing information. Identify actions that could delete data, spend money or expose private records. A checklist should not grant authority the person does not have. Do not automate a consequential decision merely because the happy-path steps are easy to describe. Test supported recovery routes.

Test and maintain the document

Ask someone else to follow it in a safe example. Correct missing assumptions, assign an owner and set a review date. Update it when tools or policies change. A useful workflow document makes the process reproducible while leaving room for authorized judgment; it does not guarantee that every unusual case can be reduced to a script.
