Freelance handover document: lead with the delivered outcome
A handover should let the client understand what was completed and how to use it. Begin with the agreed deliverables and any approved deviations. Avoid filling the first page with technical terminology. Write the Docs emphasizes purpose and examples; apply that principle to the project rather than assuming the buyer remembers every development conversation.
Map files and ownership
List final files, supported formats, hosting accounts and renewal responsibilities. Explain which components came from third parties and where their licenses are recorded. Do not place passwords in the handover. Use the approved access process and confirm the client controls recovery. A named account owner is more useful than a vague instruction to “contact the developer.”

Explain routine operation
Describe the few tasks the client is expected to perform, with verified steps and safe examples. For a website, this might include editing a draft and checking a form submission. Distinguish normal administration from changes needing specialist help. Screenshots should show the actual interface with private information removed, not an AI-generated imitation.
Make limitations visible
Document unresolved issues, assumptions, supported versions and tasks outside the original scope. State what the included support period covers and how additional work is authorized. Do not imply ongoing monitoring if none was agreed. A clear limitation helps the client plan; hiding it until something fails undermines confidence in the entire deliverable.
Test the handover with the recipient
Ask an appropriate client contact to locate a file and perform a routine action in a safe environment. Correct ambiguous wording before closing the project. Record approval and remove access that is no longer needed. A handover succeeds when the client can continue responsibly, not when the document is long or contains every implementation detail.
