Canva folders help organize designs and media for a client or project. They are useful navigation containers, but a tidy folder does not automatically establish ownership, licensing or the correct sharing permissions.
Create the folder in the intended workspace
From the homepage, open Projects and All projects, then use Add new and New Folder. Give it a clear name before creating it. Check the active account and team first so client work is not unintentionally organized inside an unrelated personal or organization workspace.

Organize designs with a simple convention
Separate active work, approved output and reference material when that distinction helps the project. Move the intended items using Canva's supported controls, verifying that the action is available for their ownership and access. Avoid deep nesting that hides the current approved design.
Review access before handing off
Inspect folder sharing and the permissions of important items. A person finding the folder does not necessarily have every action you expect on every design. Test the recipient's experience and avoid putting private client assets in a broadly shared team folder without authorization.
A practical checklist
- Check the current account and team.
- Use a descriptive folder name.
- Separate working and approved material.
- Verify item ownership and move permissions.
- Test recipient access before handoff.
Worked example
Illustrative example: a freelancer prepares a Campaign A folder with working designs and a clearly named approved subfolder. Before sharing it, they check that the client can open the approved items and that internal reference images are not exposed through an unnecessarily broad permission.

Common questions
Does a folder grant licensing rights to its contents? No. Can every externally shared design be moved into your folder? Not necessarily. Is copying between accounts the same as organizing items inside a folder? No; use the appropriate workflow.
What to do next
Keep the structure shallow and record where the approved source lives. Review access at project completion instead of leaving every collaborator attached indefinitely.
