A graphic design proposal should describe the assets and decisions the client receives, including formats and approval boundaries. It differs from a design contract, which addresses binding terms in more detail. A useful proposal makes the creative process inspectable so revisions do not become an unlimited substitute for a clear brief.
Translate the brief into named assets
List the specific items, sizes, variants and channels. Identify supplied copy, brand rules and image sources. Explain whether original illustration, photo editing or content writing is included. A phrase such as marketing graphics is too broad if the client expects print layouts, social variants and editable templates while the price covers one digital asset.

Describe concepts, feedback and revision scope
Specify the proposed concept stage and a single responsible approval route. Ask for consolidated feedback against the brief. Define the difference between refining an agreed direction and requesting a new direction after approval. Do not imply that a fixed number of rounds prevents all disagreement; the underlying deliverables and decisions still need clarity.
Make file and rights handover explicit
List final formats and whether editable source files are included. Identify fonts, stock material and other licensed components. Explain which production specifications the client or printer must supply. Legal terms for ownership, reuse and licenses should be confirmed in the agreement, not casually inferred from the presence of a download link.
A practical checklist
- Name assets, sizes and channel variants.
- Identify copy, imagery and production inputs.
- Set concept and consolidated-feedback stages.
- List final and editable file formats.
- Clarify licensed elements and rights in the agreement.
Worked example
Illustrative example: a freelancer proposes a campaign flyer and two social variants using client-supplied copy. The proposal includes one approved direction and defined refinement rounds, while new campaign messaging is excluded. Print specifications are confirmed before final export. The scope is concrete without assuming that every possible format or source file is included.

Common questions
Is every file variant a separate project? Not necessarily, but list what is included. Does a design fee automatically transfer all rights? That depends on the agreement and law. Can the designer guarantee marketing response? No.
What to do next
Use an asset table with format, size, input owner and acceptance point. It gives both parties a practical review tool before moving to suitable contractual terms.
